Passport Auto Group in the Washington, D.C., area had collected data across nine dealerships without a cohesive process or efficient technology platform, which led to duplicate records, inconsistent customer outreach, and missed opportunities. 

“We used to call it a Frankenstein tech stack before we started cleaning up those partnerships,” explained Casey Goodnight, e-Commerce Director for Passport. 

In an attempt to solve this problem, the dealership group turned to proven partners, including automotiveMastermind, to help streamline their data and tech stack. 

Here’s what followed: Since partnering with automotiveMastermind, Passport has seen a major turnaround in profits and performance, as shown by its 2025 numbers:

But those numbers are not accidental, according to Passport Vice President Cameron Hellmuth.

Cleaning with purpose: Hellmuth said the goal was to take the previously messy data and intentionally convert it into actionable tasks and processes, resulting in the following:

  • The group is now using one unified database between all nine of its dealerships. 

  • Customers who may have purchased vehicles at two different stores are now merged into one file. 

  • And marketing response rates are significantly boosted given group outreach has been consolidated into single campaigns.

“The partners can [then] pull that data out to help serve it up to different team members, sales managers, salespeople, and show them this is a customer that needs to be contacted,” Hellmuth said, adding that it immediately creates grounds for “a much cleaner database going forward.” 

Why this matters: Messy data creates confusion and additional friction for the customer, pointed out Goodnight, which is why Passport made sure to merge records for opt-outs. 

Respecting opt-out requests across all locations prevents unwanted follow-ups and protects group-wide customer loyalty.

“We don’t want to look like a fool in front of our own customers, especially one that has a relationship for the long term,” Goodnight said. 

Need for proven partners: Goodnight and Hellmuth also noted that partners with a niche are sometimes not helpful in solving problems such as opt-outs, because those same vendors may be going hard on tech for the sale but not worried about the aftermath. That's why Passport took these actions:

  • Looked for integrations to limit key entries and logins

  • Made choices based on what’s best, not necessarily what’s cheapest

  • When the decision was made to go with automotiveMastermind, they made sure they had buy-in from the top down

“The industry has been broken in that way over the years,” Hellmuth said. “So many different options, so many different companies to partner with, and the integrations don’t always match up.” 

Integrations aside, their take is that technology partnerships (done right) not only eliminate frustrations for customers but also help with the staff, making them more efficient in the long run.

Balancing AI and human elements: Hellmuth admitted that they know that some customers are turned off by talking with an AI bot, which is why their AI solutions are not meant to replace the human element.
